Using Email

IMPORTANT NOTICE:

As of 2:30pm on June 20, 2012, ECF will no longer provide e-mail accounts to students.   All mail sent to student e-mail addresses (of the form <login_name@ecf.utoronto.ca>) will automatically be forwarded to the student's UTmail+ account.  No new mail will be delivered to students' ECF inboxes, and any forwarding or automatic replies that have been set up will no longer have any effect after this time.

Please note that most of the information listed below will apply only up
until the cutover at 2:30pm on June 20, 2012.

Who has E-mail

All users with ECF UNIX computer accounts have an E-mail address of the form login_name@ecf.utoronto.ca. This E-mail address will stay with you as long as you have your computer account with ECF.  Once you leave Engineering, your computer account and your E-mail address will be deleted.  If users wish to have a more permanent E-mail address they can acquire a UTORmail E-mail address by going to the library.  Users have a variety of mail readers available to them on the Unix systems (pine, mutt, mail).

E-mail resources
ECF has limited resources for E-mail so users are expected to deleted E-mail message they no longer require.  If a user wishes to keep an E-mail then it should be saved to a file so that the spool file (INBOX) stays small.  ECF does not limit the size of E-mail messages sent or received but many systems do, so it is wise to keep your messages as small as possible to avoid 'bounced' mail.

Mass Mailing Lists
ECF maintains mass mailing lists of student E-mail addresses.  These lists are accessible to academics and administrators that need to contact large groups of students.  Contact the main ECF office to acquire access to these lists.  These lists are typically used to contact all the students taking a particular class or enrolled in a particular year/department.  These lists are generated from information from the registrar's office.  Students may miss important E-mail if they fail to keep their registration information up to date.

E-mail Abuse
Abusive or harassing E-mail will not be tolerated. Anyone receiving abusive or harassing E-mail should contact the main ECF office. NOTE: this type of E-mail should not be confused with the plague of spam advertising E-mail that should simply be deleted. Anyone caught using their ECF computer account in an abusive or harassing manner will face strict sanctions ranging from loss of computer access to criminal prosecution.

POP and IMAP
For security reasons, ECF does not allow POP or IMAP connections from off-campus.  To read and send mail from off-campus, use our webmail interface.

Forwarding and Automatic Replies
Users can have their E-mail forwarded to a different location, such as their UTORmail address or their departmental E-mail address or their ISP E-mail address.

Also, the system can send an automatic reply to anyone who sends you mail.  Typically, this message informs the sender that you are not available to read your mail. This is most often used when people are away from their E-mail for an extended period.

To set up mail forwarding and/or automatic replies:

  • Log into ECF's webmail interface at https://postbox.ecf.utoronto.ca/webmail/ using your ECF username and password;
  • At the top of the main pane, select Options;
  • Choose Autoresponder / Mail Forwarding;
  • To set up mail forwarding:
    • Check the checkbox labelled Forward incoming messages to addresses listed below;
    • Type the address(es) to which you want your ECF e-mail forwarded into the indicated box.
  • To set up automatic replies:
    • Check the checkbox labelled Enable auto-reply to sender;
    • Type the subject of your automatic reply in the box labelled Subject:;
    • Type the text of the automatic reply in the box labelled Message:.
  • Click Submit to put the forwarding into effect.
